Cold email setup for founders doing their own outbound

Updated 1 November 2026 · 5 min read

Short answer

A founder doing their own outbound needs a few separate sending domains, 2–3 mailboxes on each, and about three weeks of warm-up before full volume. Each warmed mailbox can send about 30 cold emails a day, so 10 mailboxes covers roughly 300 emails a day. In ReplyDak that is $35 a month for 10 Microsoft 365 mailboxes plus $13 a year per domain, and setup takes about 10 minutes.

When you are the founder, you are often the first salesperson too. You want to email prospects yourself, but you do not want your real company domain on a blocklist, and you do not have a week to learn DNS. This page shows the simplest safe setup and how you build it in ReplyDak.

What a founder setup looks like

Daily emails you want to sendWarmed mailboxesSending domains (2–3 mailboxes each)ReplyDak mailbox cost
Up to about 1505 (billed as 10 on Starter)2–3$35 a month
About 300104–5$35 a month
About 9003010–15$87 a month

These numbers use about 30 emails per warmed mailbox per day, follow-ups included. The Starter plan starts at 10 mailboxes, so most founders simply take 10 and keep headroom. Domains are $13 a year each. Check your own numbers in the cost calculator or on the pricing page.

Set it up in ReplyDak

  1. 1

    Create a free account

Sign up at app.replydak.com/signup with your work email or Google. No card is needed, and your 3 free months of the built-in tools start now.

  2. 2

    Check your company domain

On the first screen, type your company domain. ReplyDak checks its SPF, DKIM, DMARC and MX records and suggests lookalike sending domains, with live availability. Your main domain stays out of cold email; see protect your main domain.

  3. 3

Order mailboxes in your own name

Pick your sending domains, keep 2–3 mailboxes on each, choose Microsoft 365 (the default) and add your name as the sender. You see the exact monthly price before you pay.

  4. 4

    Wait about 10 minutes

The order page shows each step: domain bought, DNS records published, domain verified, DKIM, mailboxes created and warm-up started. Each domain forwards to your real website.

  5. 5

    Use the warm-up weeks well

New domains age for 14 days, then each mailbox climbs from about 2 to 30 emails a day over roughly 21 days. Meanwhile, clean your list in Verify and write openers in AI lines. Both are free for your first 3 months.

  6. 6

    Send

Export a CSV for Instantly, Smartlead or a generic format with daily limits filled in, or send short sequences of up to 6 emails from Campaigns and read replies in the shared inbox.

Habits that keep a small setup healthy

  • Verify before you send. Bounces hurt every mailbox on the list. See verify an email list.
  • Keep sequences short. Three or four emails is plenty for most offers.
  • Write plain text. One link at most, no images in the first email.
  • Make opting out easy. ReplyDak keeps an opt-out list and a hosted opt-out link.
  • Test placement. You get 3 free inbox placement tests a month to see whether a test email lands in the inbox or spam.
Nobody can honestly promise inbox placement, and ReplyDak does not. What it does is set up every record, warm up slowly, and check blocklists every day.

What it costs after the free period

Mailboxes and domains are paid when you order them. The built-in tools are free for 3 months from sign-up, then you pay what they cost ReplyDak: about ₹0.02 per verified address and about ₹0.10 per AI first line or AI reply draft, from a wallet you top up from ₹200. Warm-up, DNS, the sequencer and reply sorting are not metered.

When ReplyDak is not the right tool

If you only plan to email a handful of people a week, a separate setup may be more than you need; a careful personal mailbox could do. ReplyDak also does not sell lead lists, so you must bring your own prospects. It does not do LinkedIn or phone outreach. And if you want the best-known brand and do not mind paying about 10% more per mailbox, the market leader is a fair choice; see ReplyDak vs the market leader.

FAQ

How many mailboxes does a founder need for cold email?

Divide your daily target by about 30. For 150 emails a day you need about 5 warmed mailboxes; most founders take the 10 on the Starter plan for $35 a month.

Can I send cold email from my company domain?

It is safer not to. Use separate lookalike sending domains so a reputation problem cannot affect your main domain's everyday email.

How long before I can send at full volume?

New domains age for 14 days, then each mailbox ramps from about 2 to 30 emails a day over roughly 21 days.

Do I need a sequencer as well?

Not always. ReplyDak has a simple built-in sequencer called Campaigns. You can also export your mailboxes to Instantly, Smartlead or another tool.
